How to Design an RFQ Form Buyers Actually Complete

Almost every conversion guide repeats the same rule: keep your form to five fields or fewer. It's good general advice for consumer signups. It's bad advice, unmodified, for manufacturing RFQ forms, because it ignores the one thing that actually determines whether your sales team can act on a submission: is the inquiry quotable, or is it a name and an email address with no part information attached.

Why the "five field rule" doesn't transfer to manufacturing

Atomic answer: RFQ forms aren't optimizing for signups, they're optimizing for quotable submissions. A five-field form that skips material, quantity, and drawing upload produces fast submissions your team can't act on without a follow-up call, which erases the speed advantage entirely.

There is no universal answer to how many of these to include. The right mix depends on three things.

The three variables that should set your form length

  1. Traffic source. A form on your homepage sees colder, broader traffic and should stay shorter. A form on a specific capability page (e.g. Swiss turning for medical components) sees pre-qualified traffic and can ask more.
  2. Deal economics. Aerospace, medical, and tooling shops quoting five and six-figure jobs can justify a longer form since sales has time to review each one manually. High-volume job shops need throughput and should keep the form lean.
  3. Sales team capacity to qualify manually. If your team can call every submission within an hour to fill gaps, a shorter form works. If quotes queue for days, missing fields become dead ends, not opportunities.

Drawing uploads matter more than field count

The single highest-leverage addition to most RFQ forms is not another text field, it's a file upload that accepts the formats engineers actually have on hand: STEP, PDF, DXF, IGES, SLDPRT, and a fallback path for a scanned or photographed print. Buyers who are forced to email a drawing separately often don't follow through, especially on a first inquiry to a shop they haven't worked with before.

Make the upload optional but visually prominent, with copy like "Have a drawing? Upload it here for a faster quote" rather than a bare, unlabeled attachment field.

Response-time expectations close the loop

A well-designed form still fails if buyers don't know what happens next. State a turnaround time directly on the form or the confirmation screen: "We respond to RFQs within 2 business days." This does two things: it reduces the number of buyers who hedge by submitting the same print to three competitors simultaneously, and it sets an internal deadline your team has to meet. A worked example: two forms, two contexts

Homepage form (cold traffic): Name, email, part description (text or upload), message. Four fields, optimized for volume, with a note that more detail speeds up the quote.

Capability page form (warm traffic, e.g. 5-axis CNC page): Name, email, company, drawing upload, material, quantity, target lead time. Seven fields, optimized for quotability, justified because the visitor already self-selected into that capability.
